(Fully Remote) Case Manager Needed for Fast-Growing Tenant Rights Law Firm

We are a fast-growing tenant rights law firm dedicated to helping California tenants who have been illegally evicted, harassed, discriminated against, or forced to endure unlivable conditions recover money for their losses.  We are looking to bring our services to thousands more renters throughout California by continuing to grow our firm 50% year over year.  We are looking for a rockstar Case Manager to join the ranks of our legal team.  The Case Manager’s primary goals are to handle all administrative matters for a three-person pod consisting of the Case Manager, Paralegal, and Attorney; serve as the primary point of contact for clients, responding to all non-legal questions; act and a firewall between clients on the one hand and Attorney and Paralegal on the other; and prepare monthly status updates for all pod clients. 

This position will be responsible for critically important work, including: 

  1. Tracking Key Performance Indicators (KPIs) weekly. 
  2. Assisting the Attorney in prosecuting matters according to firm procedures. 
  3. Handling all non-legal administrative matters for the pod, including but not limited to preparing letters to landlords and client correspondence. 
  4. Updating the internal pod calendar. 
  5. Scheduling New Client Onboarding Meetings. 
  6. Checking for residential property ownership information online. 
  7. Submitting inquiries to an insurance research company. 
  8. Opening new claims with insurance companies. 
  9. Preparing Weekly Pipeline Reports. 
  10. Handling any and all client questions or comments, including status updates, looping in Attorney only when necessary. 
  11. Conducting weekly audits of active matters. 
  12. Updating statutes of limitation for all matters on at least a weekly basis. 
  13. Reviewing statuses on a weekly basis and advising Attorney and Paralegal of any outstanding tasks. 
  14. Reminding Attorney to update monthly status updates for pod matters in Clio Manage. 
  15. Preparing monthly status updates for the Attorney in Clio Manage based on the statuses; 
  16. Sending out monthly status updates to clients; 
  17. Following up with clients who have not yet vacated their rental units; 
  18. Working with the Attorney to understand what may be stalling a case and ensuring that appropriate steps are taken to move the case forward. 
  19. Advising the COO and CEO of ways to improve efficiencies in client communications. 
  20. Closing matters per firm policies and procedures. 
  21. Preparing and sending legal services agreements to clients. 
  22. Preparing and send to firm clients agreements approved by Attorney for clients’ electronic signatures. 
  23. Attending Daily Stand-Up Meetings. 
  24. Attending Weekly Team Meetings and Weekly Lunch & Learns. 
  25. Attending Monthly Coaching Meetings with the Managing Attorney.

Prior experience in a law office is preferred but not required.  The ideal candidate is well-organized, detail-oriented, and able to work quickly and efficiently; is a proactive problem solver; writes clearly and (mostly) error-free; is able to intercept and resolve client issues before they reach Paralegal or Attorney; preferably, speaks and writes Spanish; is proficient with the Windows Operating System and Microsoft Office 365, including Microsoft Word, Outlook, Excel, Teams, and OneDrive; preferably, has experience with Adobe Acrobat, Zoom, Clio Manage, Lawmatics, and Keeper Security; has an interest in tenant rights; has a high comfort level with technology; and has an interest in growing with the firm.  The ideal candidate should also have a positive attitude and sense of humor, and be willing to follow policies, systems, and procedures.
