We are a fast-growing distributed/virtual tenant rights law firm dedicated to changing lives—one tenant at a time. We help California tenants who have been illegally evicted, discriminated against, harassed, or forced to endure uninhabitable living conditions recover money from their landlords.
We are looking for a rockstar Case Manager to join the ranks of our legal team. The Case Manager’s primary goals are to handle all administrative matters for a three-person pod consisting of the Case Manager, Paralegal, and Attorney; serve as the primary point of contact for clients, responding to all non-legal questions; act and a firewall between clients on the one hand and Attorney and Paralegal on the other; and prepare monthly status updates for all pod clients. This position will be responsible for critically important work, including:
- Tracking Key Performance Indicators (KPIs) weekly.
- Handling all administrative tasks for the pod, including but not limited to preparing letters to landlords and client correspondence, preparing proofs of service, handling electronic fillings, downloading and saving electronic files, etc.
- Handling any and all client questions or comments, including status updates, looping in Attorney only when necessary.
- Scheduling New Client Onboarding Meetings.
- Checking for residential property ownership information online.
- Submitting inquiries to an insurance research company.
- Calendar and share with Pod all received scanned mail.
- Opening new claims with insurance companies.
- Oversee the Attorney’s calendar.
- Preparing Weekly Reports.
- Updating statutes of limitation for all matters on at least a weekly basis.
- Preparing and sending out monthly status updates to clients;
- Closing matters per firm policies and procedures.
- Preparing and sending legal services agreements to clients.
- Attending Daily Stand-Up Meetings, Weekly Team Meetings, Weekly Lunch & Learns, Monthly Coaching Meetings, and Quarterly Action Planning Meetings.

Prior experience in a law office is preferred but not required. The ideal candidate is well-organized, detail-oriented, and able to work quickly and efficiently; is a proactive problem solver; writes clearly and (mostly) error-free; is able to intercept and resolve client issues before they reach Paralegal or Attorney; preferably, speaks and writes Spanish; is proficient with the Windows Operating System and Microsoft Office 365, including Microsoft Word, Outlook, Excel, Teams, and OneDrive; preferably, has experience with Adobe Acrobat, Zoom, Clio Manage, Lawmatics, Deadlines.com and Keeper Security; has an interest in tenant rights; has a high comfort level with technology; and has an interest in growing with the firm. The ideal candidate should also have a positive attitude and sense of humor, and be willing to follow policies, systems, and procedures.
This is a full-time job, and you absolutely must be able to work for at least forty hours per week. Work may be done 100% virtually from any location in the world with a reliable Internet connection during the firm’s business hours: Monday through Friday from 8:00 a.m. to 5:00 p.m. Pacific.
