(Fully Remote) Client Concierge Needed for Fast-Growing Tenant Rights Law Firm

We are a fast-growing tenant rights law firm dedicated to helping California tenants who have been illegally evicted, harassed, discriminated against, or forced to endure unlivable conditions recover money for their losses. We are looking to bring our services to thousands more renters throughout California by continuing to grow our firm 50% year over year. We are looking for a rockstar Client Concierge to join the ranks of our legal team. The Client Concierge’s primary responsibilities are to (1) act as the de facto client concierge for all clients, answering all calls in real time and returning any missed calls within two business hours; (2) to oversee the onboarding of all new clients; and (3) to assist the Case Managers with all their duties.  

This position will be responsible for critically important work, including: 

  1. Tracking Key Performance Indicators (KPIs) weekly. 
  2. Acting as the de facto client concierge for all clients, answering all calls in real time and returning any missed calls within two business hours. 
  3. Scheduling New Client Onboarding Meetings for all new clients. 
  4. Assisting the other Case Managers with the following responsibilities: 
    • ● Assisting the Attorney in prosecuting matters. 
    • ● Handling all administrative matters for the pod. 
    • ● Updating the internal Pod calendar. 
    • ● Scheduling New Client Onboarding Meetings. 
    • ● Assigning all Clio lists for matters as each matter in the portfolio progresses, ensuring all matters are up-to-speed so that everyone on the team is aware of their assignments. 
    • ● Checking for residential property ownership information online. 
    • ● Submitting inquiries to an insurance research company. 
    • ● Opening new claims with insurance companies. 
    • ● Preparing Weekly Pipeline Reports. 
    • ● Handling any and all client questions, comments or complaints relating t matters, including status updates, looping in Attorney only when necessary. 
    • ● Conducting weekly audits of active matters. 
    • ● Updating statutes of limitation for all matters on at least a weekly basis. 
    • ● Reviewing statuses on a weekly basis and advising Attorney and Paralegal of any outstanding tasks. 
    • ● Reminding the Attorney to update monthly status updates for pod matters. 
    • ● Preparing monthly status updates for the Attorney based on the statuses; 
    • ● Sending out monthly status updates to clients; 
    • ● Following up with clients who have not yet vacated their rental units; 
    • ● Working with the Attorney to understand what may be stalling a case and ensuring that appropriate steps are taken to move the case forward. 
    • ● Advising the COO and CEO of ways to improve efficiencies in client communications. 
    • ● Drafting conclusion of matter letters to clients on behalf of Attorney. 
    • ● Closing matters per firm policies and procedures. 
    • ● Preparing and sending legal services agreements to clients. 
    • ● Preparing and send to firm clients agreements approved by the Attorney for clients’ electronic signatures. 
  5. Attending Daily Stand-Up Meetings. 
  6. Attending Weekly Team Meetings and Weekly Lunch & Learns. 
  7. Attending Monthly Coaching Meetings. 
  8. Attending Semiannual Performance Reviews.

Prior experience in a law office is preferred but not required. The ideal candidate is well-organized, detail-oriented, and able to work quickly and efficiently; is a proactive problem solver; writes clearly and (mostly) error-free; is able to intercept and resolve client issues before they reach the Case Manager, Paralegal or Attorney; preferably, speaks and writes Spanish; is proficient with the Windows Operating System and Microsoft Office 365, including Microsoft Word, Outlook, Excel, Teams, and OneDrive; preferably, has experience with Adobe Acrobat, Zoom, Clio Manage, Lawmatics, and Keeper Security; has an interest in tenant rights; has a high comfort level with technology; and has an interest in growing with the firm.  The ideal candidate should also have a positive attitude and sense of humor, and be willing to follow policies, systems, and procedures. 

This is a full-time job, and you absolutely must be able to work for at least forty hours per week. Work may be done 100% virtually from any location in the world with a reliable Internet connection during the firm’s business hours: Monday through Friday from 8:00 a.m. to 6:00 p.m. Pacific.
